Privacy Policy

This policy covers the information ChiroBooked collects, what we do with it, when we share it and what you can control. "We" and "us" means ChiroBooked. "You" means anyone who visits our website, talks with us or uses our services, including the clinics on our plan and the people who work at them.
Information about a clinic's patients works differently, and has its own section below.
What we collect
Forms. When you fill out a form on our website, we collect what you enter, such as your name, your clinic's name, your email, your phone number and your message.
Booking a call. When you book a call with us, we collect your name, your contact details, the time you pick and anything you tell us about your clinic. We also keep notes from the call.
Messages. When you email, call or text us, or message us on social media, we keep the message and your contact details so we can reply and keep a record of the conversation.
Clients. When your clinic signs up, we collect what we need to run your plan: your contacts, billing details, access to the accounts we set up or run for you, and the content you give us for your website and ads.
Cookies and site analytics. When you visit our website, we and our analytics providers collect some information automatically, such as your IP address, browser and device type, the pages you look at, how long you stay and the site or link that sent you.
Tracking numbers and UTM data. We use tracking phone numbers and UTM tags (short labels added to links) to see which ads, searches and links bring people to us. When you call one of our tracking numbers, we collect your phone number, the time and length of the call, and which ad or page the number was on. When you arrive through a tagged link, we collect the tag, which tells us the campaign or site that sent you.
How we use it
We use your information to answer your questions, hold the calls you book and tell you about our services.
If your clinic is a client, we also use it to set up and run your plan, bill you, give you support through your account manager and send your monthly report.
We use site analytics, tracking numbers and UTM data to see which of our ads and pages work, and to make our website and services better.
We also use information to keep our website and services secure, to stop fraud and misuse, to follow the law and to enforce our terms of service.
Who we share it with
We never sell personal information. We share it only in these cases.
Service providers. Companies that help us run our business, such as those that provide hosting, the software our services run on, email and texting, phone and call tracking, analytics, scheduling and payments. They may use the information only to do work for us.
Ad platforms, for clients. When we set up and run your clinic's ads, we share what's needed with Google, Meta and TikTok to do that work.
When the law requires it. We may share information to follow a law, court order or legal process, to protect someone's safety, or to protect our rights.
If our business changes hands. If ChiroBooked is sold or merges with another company, information may pass to the new owner, and it stays covered by this policy.
With your permission. Any other time, we'll ask you first.
Text messages
If you give us your mobile number and agree to get texts, we use it to send the texts described in our SMS terms. You can reply STOP to any text to stop them.
We don't share mobile phone numbers or text messaging consent with third parties for their marketing.
Patient information we handle for clinics
Our software helps clinics book appointments, send reminders, message patients, keep charts, see how visitors use their websites and track where new patients come from. When a clinic uses it, we handle information about that clinic's patients and website visitors for the clinic. That can include names, contact details, appointments, messages, call details and charting notes.
We handle patient information as the clinic's service provider, under HIPAA and the business associate agreement (BAA) we sign with each clinic. The clinic decides how its patient information is used, and the clinic's own privacy notice applies to it.
If you're a patient, please contact your clinic with questions or requests about your information. If you contact us instead, we'll pass your request on to your clinic.
Cookies
Cookies are small files a website stores in your browser. We use cookies and similar tools to keep our website working, remember your choices, count visits and see how people find and use the site.
Some of these tools come from other companies, such as analytics providers and ad platforms. Those companies may collect information about your visit under their own privacy policies.
You can block or delete cookies in your browser settings. Some parts of the site may not work as well without them.
Some browsers send a "Do Not Track" signal. There's no common standard for responding to it, so our website doesn't change what it does when it gets one.
How long we keep information
We keep information only as long as we need it for the reasons in this policy.
For clients, that's while you're on our plan and for as long after as we need it for tax, accounting or legal reasons, or to settle a dispute. For people who contact us but don't sign up, it's while we're in touch and for a reasonable time after.
When we no longer need information, we delete it or remove the details that identify you. Patient information we handle for a clinic is kept, returned or deleted as our agreement with that clinic says.
How we protect it
We use reasonable administrative, technical and physical safeguards to protect information, and we limit access to the people who need it to do their jobs.
No way of sending or storing information is perfectly secure, so we can't promise that information will never be accessed without permission. If a breach affects your information, we'll tell you as the law requires.
Children
Our website and services are made for clinics and the adults who run and work at them. We don't knowingly collect personal information from children under 13 through our website. If you think a child has given us information, contact us and we'll delete it.
Clinics may treat children. Information about those patients is handled for the clinic as described in the patient information section above.
Your privacy rights
Depending on the state you live in, you may have rights over your personal information. These can include the right to know what information we have about you and get a copy, to correct it, to have it deleted, and to opt out of its sale or its use for targeted advertising.
To make a request, email us at sales@chirobooked.com. We'll need to confirm who you are before we act on it, and we'll answer within the time the law allows. You can also have an authorized agent make a request for you.
We won't treat you differently for using your privacy rights.
If we turn down your request, we'll tell you why. In some states you can appeal by replying to our answer, and if you're still unhappy with the result you can contact your state's attorney general.
Requests about patient information we handle for a clinic go to that clinic, as explained above.
California residents. California law gives you the rights above, including the right to know what personal information we collect, where it comes from, why we use it and who we share it with. This policy covers all of that: the kinds of information are in "What we collect", where it comes from is you, your device and the providers we work with, the reasons are in "How we use it", and the companies we share it with are in "Who we share it with". We don't sell personal information, and we don't share it with other companies for their own direct marketing. We use sensitive personal information, such as login and payment details, only to provide our services and keep them secure.
Changes to this policy
We may update this policy from time to time. When we do, we'll change the date at the top of this page. If we make a big change, we'll also let clients know by email.
